The Clearcare Difference

Ty Caredig, are a provider of Residential and Supported Accommodation services in Wales.

Ty Caredig operates it’s Supported Accommodation services under the name Safe Haven Supported Living, supporting Young People between the ages of 16-21 in the Swansea area. Safe Haven Supported Living has three homes and uses Clearcare Solutions to manage day-to-day recording, staff workflows, safeguarding documentation and operational oversight.
Lisa Tovey, Manager of Safe Haven’s Homes, introduced Clearcare into the organisation. Reflecting on that decision, Lisa explained “Having previously used Clearcare at another organisation, I told my director I’d be more comfortable using the Clearcare system,” adding that “we chose to use Clearcare”.

A Central Place for Young People & Staff Information

For the team at Safe Haven, one of the biggest advantages of Clearcare is having everything stored in one place. Lisa described the platform as “like a one-stop pot,” explaining that staff can quickly access young people’s information, social worker details, incident reports, daily logs, and uploaded documents from a single dashboard.

She highlighted how the layout of the system helps staff save time during busy shifts, saying, “Rather than go through the whole system, you’ve got datacards at the top. Am I looking for an incident report? Am I looking for a log to report back to social services? That’s how I find things quite quickly.”

The organisation also stores staff records within the system, including right-to-work documentation and key employment information. Lisa explained that having everything together means staff can quickly respond to requests and access important records without searching across multiple systems.

Improving Oversight with Daily Logs and Tasks

Safe Haven uses Clearcare extensively for Daily Logs, Handovers, Incident Reports, Health & Appointment Records, and Scheduled Tasks. Lisa explained that daily, weekly, and monthly task reminders help staff stay consistent in busy environments where things can easily be overlooked.

“When you’ve got a home with eight young people in, things can be overlooked,” she said. “The staff then get constant reminders of what they need to be doing and the tasks they need to be performing during the day.”

The organisation also adapted its daily log handover process within Clearcare to suit its services. Rather than splitting records into separate day and night logs, the team created a full 24-hour overview to improve continuity between staff shifts. Lisa explained that these logs are reviewed by the internal management team to ensure safeguarding concerns are not missed.

Bespoke Forms to meet their needs

One of the key reasons Safe Haven chose Clearcare is the bespoke nature of the system. Lisa has created forms tailored specifically to the needs of the organisation, including custom cleaning checklists and operational documents.

This enabled Safe Haven to shape workflows around the needs of staff and young people rather than being reliant on rigid form templates.

Reliable Support When You Need Them

Lisa praised the support provided by the Clearcare team. Whether contacting support by phone or email, Lisa explained ”I always get same day replies. Often the query is sorted out very quickly. Friendly staff, good advice – that’s why I rate you and I’m still with you.”Although staff can initially take time to learn the system, Lisa noted that once they become familiar with it, “it’s easy.” The organisation supports staff with inductions, internal guidance, and ongoing management oversight.

Overall, Lisa described Clearcare as easy to navigate and reliable. “Everything to do with the young people and staff is all in one place. I rave about Clearcare and the ease of using it”.
