How you can use AI to transform your services

Balancing high-quality care with increasing administrative demands is a common challenge within residential care settings. 

We spoke with Hannah, a registered manager, who outlined how AI has significantly improved the way documentation, reporting, and oversight are managed, leading to substantial time savings and improved quality of information collected.

Tasks that previously required hours – and in some cases days – can now be completed in minutes, allowing staff to prioritise time with Young People. 

Hannah mentioned “It’s completely changed how we work day to day. Staff now have more time to focus on the Young People, rather than being tied up with paperwork”.

Faster Reporting Processes

A key example is the monthly manager’s quality of care review, which feeds into Regulation 45 reports and is essential for internal monitoring and inspection readiness. Traditionally, this process took around four hours to complete, requiring managers to gather and summarise information manually. With AI, the same review can now be produced in approximately two minutes. 

Hannah highlights the impact of this change: “What used to take most of an afternoon now takes a couple of minutes, and the quality is actually better and more consistent.”


Weekly reporting requirements have also become far more manageable. Each young person requires an individual weekly report, which previously took approximately two hours per child to complete. With AI, this can now be achieved in minutes, greatly reducing workload without compromising quality. Similarly, school holiday reviews, which are shared with schools, can now be produced in under a minute. Hannah notes, “Things like weekly reports and school updates that used to take hours are now done almost instantly.”

Transforming Looked After Child (LAC) Reports

Hannah spoke about LAC reports, required by Local Authorities every six months, and how they have been transformed. Previously Hannah mentioned that “previously, these reports required input from multiple staff members and could have taken over a week to complete. With AI, they can now be generated in minutes while still maintaining a high level of detail”.
